ASA Recruitment’s client, a Public Sector organisation in Scotland, is currently looking to recruit an Admin Assistant (Part-Time) on a mostly remote basis, on an initial 3 month contract (with potential extensions) on a rate of c.£15.50/hour PAYE (based on experience). This role will be working 18 hours per week, working Wednesday afternoon, Thursdays and Fridays. Whilst the role is mostly remote, the occasional office day in Dundee will be required.
Responsibilities:
- Providing comprehensive administrative support for the delivery of training, including liaising with faculty, delegates and venues
- Dealing with enquiries in an efficient and professional manner
- Providing support across multiple shared mailboxes
- Collating and generating feedback reports
- Accurately recording expenditure, including faculty claim forms, catering and travel
- Providing comprehensive technical support for the delivery of online training, including audiovisual tests, ‘hosting’ online courses and meeting and greeting delegates at the start of each delivery
- Updating our Events Management System database on a daily basis
Essential Experience:
- Proven experience of providing technical assistance to users of learning platforms
- Proven experience of providing administrative support for the organisation of workshops and learning events
- Proven experience of supporting facilitators in delivering training
- Proven experience of recording financial information, including processing claim forms, catering and travel
- Experience of working both independently and as part of a team, whilst balancing a range of competing priorities
- Ability to work with minimal supervision; to plan and prioritise own workloads; and to meet deadlines
- Flexible approach to learning and problem solving
- Commitment to personal and professional development
- Highly developed customer service skills, with a helpful, flexible attitude
- Understanding of the need for accuracy and attention to detail
- Proven expertise in using Microsoft 365, in particular Teams, Word, Excel, PowerPoint and SharePoint
- Fast and accurate keyboard skills
- Ability to meet the travel requirements of the post
Desirable Experience:
- HNC in business administration or SCQF Level 7 equivalence via Professional Development Awards; Higher Education Certificates; Modern Apprenticeships; and SVQs
- Experience of working collaboratively with a small team, including with job share partner
- Experience of supporting team meetings, webinars, events and/or conferences online
- Experience of working within a Health, Social Care or educational environment
- Understanding of the application of GDPR to the storage and use of personal information and data privacy
- Ability to respond to confidential and sensitive situations with confidence and discretion, utilising tact, diplomacy, and persuasion skills when necessary
