Description

Our client based in Dundee is looking for a Secretarial Supervisor to provide a comprehensive secretarial and administrative service to the Property Department plus day to day supervision of a secretarial team. Deputise for Assistant Admin Services Manager to support PA duties during periods of leave.

Duties include:
Supervisory
· Day-to-day supervision of the departmental secretaries, including monitoring of their workload, organising rotas, appraisals, annual leave, training and development.
· Implement local procedures for Secretarial team and propose changes to existing working practices e.g. Control of Contractor process.
· Deputise for Assistant Admin Services Manager/Property and Assets Administrator in times of planned and unplanned leave.
· The postholder will arrange secretarial cover during planned and unplanned leave.
· Responsible for the implementation and monitoring of appraisals for departmental secretaries ensuring maintenance of standards (ensuring e-ksf system/records are kept up-to-date).
· Organise regular team meetings to be kept informed of changes to practices and to discuss any relevant matters, in line with Assistant Admin Services Manager/Property and Assets Administrator.
Administrative
· Provide supervisory secretarial support service to Property department.
· Maintain electronic diaries for 10 Senior Managers.
· Shared admin support for full tendering process e.g. from registering through to acceptance/regret letters whilst being fully aware of auditing and Standing Financial Instructions.
· Co-ordinate weekly and monthly pay returns via SSTS for Property department rosters. Deal with wage queries from staff.
· Support the Senior Managers in the administration of a range of meetings and events.
· Provide support to Senior Managers and maintain Property department website.

Essential knowledge and experience:

· HND in Business Administration and/or equivalent relevant experience.
· Working knowledge of PECOS, SSTS and Docstore which would take approximately 3 months to learn.
· Self motivated with the ability to work with a high level of autonomy.
· The ability to work against a background of continual change.
· Experience in organising and prioritising own workload and completing to high standards within deadlines.
