Our client based in Dundee is urgently looking for someone to undertake the duties of PA to their Director of Facilities.

Role description:

To provide a comprehensive, high quality and professional personal assistant and administrative support to the Director of Facilities in order that commitments and longer-term objectives of the Directorate are fully supported. Ensuring all tasks are carried out to a high quality and professional standard.

Role responsibilities:

· Manage the diary of the Director of Facilities to ensure effective time management, using initiative and discretion in allocating appointments
· Organise and control the work of the office by way of email, telephone, personal contact and typed correspondence along with delegating where appropriate to Senior Managers and staff
· Manage substantial amount of conflicting priorities in a fast paced environment along with frequently providing support and information to Senior Heads of Departments in the Facilities Directorate and cover for PA roles within the department at times of annual leave and sickness

Skills/experience

· Excellent organisational and communication skills
· Ability to communicate with external/internal contacts at all levels
· Use initiative to manage, organise and control own workload along with the heavy workload of the Director of Facilities
· Ability to influence, prioritise practices, and assess needs effectively
· Negotiation skills to facilitate best use of time
